Privacy notice

This website is run by Swarnamali Girls College Kandy 2026 A/L Batch Party to manage registration and entry for Veloria' 26. We are the people responsible for your information.

• Your school index number, class and section (checked against the school's list of eligible students)
• Your full name, NIC number, contact number, WhatsApp number and email address
• Your dietary preference and any food allergies
• A copy of your payment slip or bank receipt
• On the event day: when you checked in and your pageant number
• Your internet address, briefly, to stop the forms being misused (not linked to your registration)

• To confirm you are an eligible student and stop duplicate registrations
• To check your payment and approve your registration
• To email you a verification code, your registration status and your e-ticket
• To contact you about the event if needed
• To plan catering and keep you safe if you have allergies
• To check you in at the entrance and run the pageant

We do not sell your information, use it for advertising, or share it with anyone outside the organising team except as described below.

• Organising committee administrators can see your full registration, including your payment slip, to review and manage it.
• Event coordinators can see your name, class, section, phone number, registration status and check-in. They cannot see your NIC, email or payment slip.
• Entrance staff scanning tickets see only your name, Registration ID and class.

We use trusted service providers to run the website: Supabase (database and secure file storage, hosted in India), Vercel (website hosting) and Google (email delivery and staff sign-in). They process your information only to provide these services to us.

Information is sent over encrypted connections. Payment slips are kept in private storage and can only be opened by administrators through short-lived links. Each staff role can only see what it needs, and every important action is recorded in an audit log.

We keep your information only as long as we need it for the event. After the event, once payments and attendance are settled, the organisers will delete your personal details and payment slip. We may keep anonymous totals (for example, how many people attended from each class).

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. If you ask us to delete it before the event, your registration and ticket will be cancelled. To make a request, contact the organisers below.
